The role: 
The Sales Administration Manager is responsible for the Sales Administration department’s daily support of the Commercial Field Sales Team, in addition to organizing and supervising office events.

 

What you’ll do: 
Business Management 
•    Plan and coordinate administrative procedures and systems, implementing ways to streamline processes.
•    Supervise the daily support operations, ensuring all administrative processes are planned out and prioritized.
•    Efficiently manage schedules and deadlines of the department.
•    Consistently and accurately monitor costs and expenses to assist in budget preparation.
•    Organize, supervise and ensure the smooth undertaking of office and designated activities including but not limited to Long Service Award Event, Gold Salon Event, Recognition Award Event.
•    Ensure all operations adhere to company policies and regulations.
•    Keep on top of all organizational changes and business development, forward planning where required.
•    Ensure all department processes are constantly being followed, reviewed, and developed.
•    Ensure all orders are administered and managed appropriately, from start to finish.
•    Responsible for recognizing any challenges early on and coming up with solutions.
•    Ensure that specific business partner’s contractual documentation are dispatched within the required deadlines.
•    To work on bespoke projects relating to company development and prepare key presentations. 
•    Ensure that the department efficiently reply to new business trade enquiries and notify the Commercial Sales Development and Commercial Sales Managers within 1 working day.
•    Actively negotiate day delegate and overnight rates on an annual basis. 

 

Leadership and Relationship Management

•    Consistently build and maintain external relationships physically and virtually by email and phone.
•    Assess staff performance and provide coaching and guidance to ensure maximum efficiency.
•    Build strong relationships across all departments within the business. 
•    Ensure a high standard of efficient communication with all internal and external contacts. 
•    Train, develop and allocate responsibilities to the Sales Administration Coordinators. 
•    Motivate, mentor and develop direct reports, recognizing any areas of training required.
•    Ensure that direct reports regularly undertake time out with a variety of field-based management.

 

Data and Analysis 
•    Ensure the correct procedure in relation to purchase orders and P2P system is adopted throughout the department. 
•    Ensure that AS400 - Stockist System are maintained with Business Partners correct contact details.
•    Ensure accurate records, spreadsheets as directed are maintained.
•    Efficiently maintain complex business partner data (Boots.) 
•    Actively engage and communicate on the Workplace portal on a regular basis.
•    Oversee the departments use of Company Credit Cards and ensure that the monthly submission dates are adhered to. 
•    Maintain accurate department supplier data information. 
•    Responsible for maintaining accurate records, monitoring and ordering paperwork as and when required.


You are:
•    Commercially aware with exceptional client focus.
•    Excellent communications skills, both verbal and written. 
•    Ability to build and nurture profitable relationships.
•    Strong Negotiation skills.
•    Advanced user of Word, PowerPoint and Excel (VLOOKUPS.)


You have: 
•    3+ years in an Administrative Management position.
•    Ability to prioritize work and manage multiple tasks simultaneously. 
•    Solution driven approach.
•    Demonstrated ability of analytical thinking and provide solutions. 
•    Proven experience of leading, inspiring and developing teams and individuals.
•    Excellent planning and organizational skills.
