KEY RESPONSIBILITIES

2.1 Planning and Calendar Management

  • Coordinate and maintain the annual national training calendar.
  • Develop and maintain clear monthly training schedules aligned with the annual learning plan, product launches and business projects priorities.
  • Coordinate the national training offering in collaboration with the Education Team, HR Director, Area Managers and relevant business stakeholders.
  • Coordinate the implementation of internal and external training programmes.
  • Schedule training sessions, workshops, learning interventions and LIFT training sessions.
  • Maintain clear records of planned, scheduled, completed and outstanding training activities.
  • Ensure that training dates, venues, facilitators, learner groups and logistical requirements are confirmed timeously.
  • Proactively follow up on training bookings, invitations, attendance confirmations and completion.
  • Provide regular visibility of training plans, attendance, completion and outstanding actions to the E&T Manager, HR Director and relevant stakeholders.
  • Maintain regular communication with Area Managers and relevant business stakeholders to improve training participation and service delivery.

2.2 Education and Training Coordination and Administration

  • Provide end-to-end coordination and administration of training programmes.
  • Book training rooms and external venues and coordinate equipment and technology requirements.
  • Arrange catering and liaise with suppliers and internal support teams.
  • Prepare and send invitations, manage RSVPs and learner confirmations, and distribute pre-course communications.
  • Coordinate learner lists, training stock, testers, gifts and launch packs.
  • Prepare and distribute training manuals, product cards and supporting learning materials.
  • Maintain accurate electronic and hard-copy attendance registers.
  • Follow up on non-attendance and incomplete learning.
  • Coordinate post-training evaluations and feedback.
  • Maintain complete and accurate training records.
  • Support the preparation and physical setup of training sessions and workshops where required.
  • Ensure the smooth and professional execution of launches, training sessions, workshops and education events from planning through to completion.

2.3 Clarins E-Pro Administration

  • Create and maintain learner accounts and profiles.
  • Manage user roles, permissions and learner groups.
  • Enrol learners in courses and required learning pathways and maintain accurate learner data.
  • Monitor course participation, completion, mandatory learning compliance, learning hours, learning pathway completion and learner engagement.
  • Generate and distribute regular E-Pro.
  • Provide first-line user support, proactively follow up on queries and escalate technical issues to Clarins support or IT where required.
  • Upload, update and archive course content.
  • Coordinate with the Education and Training Team and subject-matter experts to publish and update learning modules.
  • Ensure learning content remains current, relevant and aligned with business priorities and product launches.
  • Measure participant feedback and digital learning effectiveness.
  • Produce monthly analysis of participation, completion, compliance and engagement.

2.4 Clarins Academy Administration

  • Manage and communicate the Academy calendar.
  • Coordinate learner enrolments and track learner participation.
  • Track course completion, mandatory course completion and learning pathway completion.
  • Monitor individual and team learning hours and maintain accurate Academy learning records.
  • Support the development and maintenance of Academy presentations and learning materials.
  • Produce monthly analysis of Academy participation, completion, learning hours and engagement.

2.5 Training Materials and Presentations

  • Prepare professional, accurate and visually engaging PowerPoint presentations for training programmes, workshops, product launches and learning initiatives.
  • Apply creativity and strong attention to detail to all learning presentations.
  • Develop, format and maintain training manuals, product cards, product information materials, launch packs and supporting course materials.
  • Work with trainers and subject-matter experts to ensure learning content is accurate and updated.
  • Ensure all learning materials are prepared and distributed within required timelines.
  • Maintain an organised central library of current learning materials and archive outdated materials.
  • Ensure all learning materials reflect Clarins brand standards and professional image.

2.6 Learning Analytics, Effectiveness and Reporting

  • Maintain accurate records of all employees and Beauty Coaches who have attended and completed training.
  • Track attendance, non-attendance, completion rates, mandatory learning completion, learning pathway completion and learning hours.
  • Measure training effectiveness through participant evaluations and feedback across both E-Pro and face-to-face learning.
  • Consolidate and analyse participant feedback and identify trends, recurring concerns and opportunities for improvement.
  • Prepare comprehensive monthly training and learning reports covering training delivered, learners trained, attendance, completion, learning hours, compliance, pathway completion, E-Pro and Clarins Academy engagement, evaluation results, learner satisfaction, training effectiveness and outstanding actions.
  • Provide feedback and reporting to the Education and Training Manager, HR Director and relevant stakeholders as required.
  • Ensure all monthly reports are accurate and submitted within agreed timelines.

2.7 Skills Development Administration and Reporting

  • Maintain accurate learning and training records required for annual Skills Development reporting.
  • Ensure training records, attendance registers, completion records and supporting documentation are complete and audit-ready.
  • Support the preparation of Skills Development submissions.
  • Maintain data required for annual skills reporting and submissions.
  • Liaise with relevant internal and external stakeholders regarding Skills Development reporting requirements where required.
  • Support reporting requirements related to the relevant SETA and Skills Development processes.
  • Ensure accurate record keeping in support of compliance and audit requirements.

2.8 Onboarding

  • Coordinate the onboarding process relating to online and in person training (Brand, Epro, Onboarding pathways) for new Beauty Coaches and Head Office employees.
  • Arrange system access requests.
  • Coordinate required training and enrol new employees on relevant learning platforms.
  • Track onboarding progress and follow up on outstanding activities.
  • Ensure required onboarding activities are completed within agreed timelines.
  • Maintain accurate onboarding records.
  • Provide regular reporting on onboarding progress, completion and feedback.
  • Ensure the onboarding Education & training experience is structured, consistent and reflective of the Clarins Touch and Clarins culture.

2.9 Training Requests and Skynamo Administration

  • Maintain, action and  training-related requests received through Skynamo.
  • Review training requests and coordinate appropriate action.
  • Allocate requests to the relevant Education Team member where required.
  • Track progress, follow up proactively on outstanding requests and ensure closure within agreed service levels.
  • Maintain accurate records of training requests and outcomes.
  • Analyse request trends to identify recurring learning needs and opportunities for future interventions.
  • Provide regular reporting on request volumes, status and service-level performance.

2.10 Launches, Workshops and Education Events

  • Coordinate the planning and execution of launches, workshops and Education events.
  • Develop clear activity plans and timelines.
  • Coordinate invitations, attendance confirmations, venues, equipment, catering and materials.
  • Coordinate training stock, gifts and launch packs.
  • Liaise with internal departments, suppliers and relevant external stakeholders.
  • Support the physical setup of workshops and events where required.
  • Ensure all materials and presentations are prepared in advance.
  • Maintain attendance and participation records and coordinate participant feedback.
  • Ensure all launches, workshops and events are executed professionally and reflect Clarins brand image and standards.

2.11 Budget Administration and Financial Reconciliation

  • Support the administration and monitoring of the Education and Training budget and operate within approved budget guidelines.
  • Maintain accurate records of committed and actual training expenditure and track expenditure against budget.
  • Process and track training-related invoices.
  • Reconcile training invoices and expenditure monthly and investigate discrepancies timeously.
  • Maintain accurate supporting documentation for all training expenditure.
  • Prepare regular expenditure and budget reports for the Education and Training Manager.
  • Coordinate the Education Team’s monthly business expense submissions.
  • Consolidate and verify monthly expense reconciliations and ensure supporting documents are complete and accurate.
  • Submit consolidated reconciliations to the HR Director for review and authorisation.
  • Ensure financial administration is completed accurately and within required timelines.

2.12 Stakeholder Communication and Customer Service

  • Maintain professional communication at all levels of the organisation.
  • Communicate effectively with the Education and Training Team, HR Director, Area Managers, Sales Teams, Marketing Teams and other internal departments.
  • Liaise professionally with Beauty Coaches, Ambassadors, Salon Owners, Therapists, suppliers, external training providers and other relevant stakeholders.
  • Provide regular feedback and updates to stakeholders and participate actively in departmental meetings.
  • Ensure the Education and Training Manager receives required plans, reports and updates within agreed timelines.
  • Build positive and collaborative working relationships and provide a professional, courteous and service-focused experience.
  • Create a positive working environment that encourages commitment, participation and accountability.
  • Demonstrate and live the Clarins Vision, Mission, values and culture.

2.13 General Administration

  • Provide administrative support to the Education and Training functions.
  • Prepare professional correspondence, reports, spreadsheets and presentations.
  • Maintain accurate and organised electronic filing systems and appropriate hard-copy records where required.
  • Coordinate meetings and departmental activities.
  • Support Education and Training projects.
  • Assist with coordination of travel and accommodation related to training and Education activities where required.
  • Reconcile travel documentation against relevant statements where applicable.
  • Order and coordinate departmental stationery and supplies where required.
  • Maintain strict confidentiality when handling employee and business information.
  • Ensure all administration is accurate, professional and completed within agreed timelines.

4. REQUIRED QUALIFICATIONS AND EXPERIENCE

  • Matric / Grade 12.
  • Strong Admin, organizational  and coordination skills
  • Strong attention to detail
  • Strong working knowledge of Microsoft Office, particularly PowerPoint and Excel.
