The role:

Based at the Clarins Distribution site in Harlow, you'll be responsible for day-to-day administrative and operational support across key retail customers and direct responsibility for the Clarins eCommerce website. Reporting to the Senior Supply Chain Executive, you will manage order processing, inventory and ecommerce local assembly administration, customer liaison, returns, fraud screening and website stock controls. You will act as the administrative bridge between the sales team, Clarins UK Distribution Warehouse and external customers to ensure timely pick, pack and dispatch and support promotional and launch activity. 

 

What you'll do:

  • Process sales orders (email/EDI), resolve system errors and communicate issues
  • Monitor and manage website stock levels with Supply & Demand planners to avoid avoidable OOS
  • Coordinate new product launch administration (Customer New Line / NOM forms) and brief Customer Service/warehouse
  • Manage customer returns and routine customer communications about orders, stock and ETAs
  • Support ecommerce GWP planning and related warehouse picking plans
  • Oversee fraud screening (CyberSource) and act as PayPal contact
  • Use systems (e.g. Demandware, Boots RSI, Jira, Vend, Cognos) and provide shipment/status updates across the business
  • Assist with ad hoc projects and provide cover across distribution roles when required

 

You are: 

  • A collaborative, service-focused professional who delivers a high level of internal and external customer service
  • Highly organised with strong time-management and the ability to prioritise to meet tight deadlines
  • Accurate and detail-oriented with the ability to spot patterns, identify root causes and propose solutions
  • A good communicator, able to liaise confidently with retail buying teams, warehouse colleagues and multiple internal stakeholders
  • Proactive, resilient and positive with a “can-do” approach
  • Comfortable working in a cross-functional environment and escalating issues to line management when necessary
  • Willing to be cross-trained and provide cover across related distribution roles

 

You have: 

  • Minimum 1 year experience in a similar industry or supply chain role with end-to-end supply chain understanding
  • Proven experience in sales order processing, returns administration and customer liaison
  • Strong Microsoft Office skills (especially Excel and Word) and experience analysing data
  • Experience with or ability to quickly learn systems such as Boots RSI, Demandware, CyberSource, PO System, Vend and Cognos
  • Good interpersonal skills and experience interacting across teams and levels of the business
  • Demonstrable ability to plan, manage projects and meet tight deadlines
  • Experience in fraud screening processes and working with payment platforms (e.g., PayPal contact experience advantageous)
  • A positive, open, problem-solving attitude
